Want to make Microsoft Copilot work for your business? It’s time for Copilot Studio

Most leaders understand tools like Microsoft Copilot are a must have. So, the question isn’t whether to use enterprise-wide AI, it is how to adopt it in a way that drives efficiency, scales responsibly and solves business problems without creating new ones.

Here, we’ll take a look at how to achieve these goals with Microsoft Copilot Studio, what it does, why you need it, and what it will cost (spoiler: surprisingly little).

What is Microsoft Copilot Studio, and why do you need it?

Microsoft Copilot Studio is the platform that lets organisations go beyond out-of-the-box solutions to design and customise their own AI agents. So, what does that mean in practice?

It means you can create your own solutions to the real problems that face your business. From branding agents that ensure consistency across your customer materials to knowledge agents that help teams get their hands on the information they need in seconds – you can now build it yourself.

This gives you the ability to create processes that are unique to your business, designed for your environment and deployed where they will have the biggest impact. It can even replace several other tools you’re paying to use with a genuinely custom-built solution.

Is Microsoft Copilot Studio hard to use?

‘Building your own AI agents’ sounds like it would require deep technical skill. And in the past, it definitely did. Today, Copilot Studio is intentionally designed as a low‑code platform, making it accessible to a much broader audience.

However, successful organisations don’t start with unrestricted access. They first establish the right governance, security boundaries, environments, and data permissions. Once those guardrails are in place, Copilot Studio can safely be released to citizen developers, enabling teams across the business to build and iterate solutions with confidence rather than risk.

In many cases, the user simply tells Copilot what it wants to achieve in plain language and the system builds the underlying structure. It may then take a few tests and tweaks to get it right, but the heavy lifting is done.

I appreciate that it still may sound daunting. But don’t let that hold you back. In my experience, the companies that are deploying Copilot Studio successfully do two things:

  1. Take a land and expand approach to deployment – don’t try to imagine a huge architecture of AI agents, as this can feel too hard and lead to inertia. Instead, start with a single challenge. Maybe it’s a HR onboarding agent that guides new starters through personalised tasks, policies and forms, or an IT knowledge base that instantly answers staff questions by searching validated internal documents and escalating to the help desk when needed. Pick one and get started –  land the tool and then you can expand it.
  2. Get everyone involved – As we know with traditional innovation projects, the best solutions can come from all corners of the business. So, consider how you can engage all levels and roles. I’ve seen a few examples of companies holding Copilot Innovation Sessions where all team members are encouraged to come and play with the tool. It’s a great way of discovering and creating solutions to everyday challenges that might not even be on the leadership radar, too.

Is Microsoft Copilot Studio safe?

AI governance is a growing issue for business. But if you don’t get on board with enterprise-wide tools, your staff just will use ungoverned, free tools instead. From ChatGPT to Claude, there are a plethora of tools readily available that can put your business sensitive information into the public domain.

Like most systems, AI is only as safe and compliant as the information that feeds it and that’s where Microsoft Purview comes in. Purview is a combined data governance, security and risk platform that fortifies your Microsoft365 environment.

It provides:

  • End-to-end data visibility
  • Protection for sensitive information across all environments
  • Real-time governance and compliance enforcement
  • Data sprawl and risk exposure mitigation
  • A foundation for responsible use of AI

Most Microsoft 365 business licences come with some Purview access, but it is worth noting that not all licenses include the full suite.

Is Microsoft Copilot Studio expensive?

A tool to create your own AI agents sounds expensive, right? But it’s actually one of the most cost-effective ways to adopt AI at scale.

Many people don’t realise that Copilot Studio can be used to build AI agents at no cost and push them out to everyone in the team. You can then use a consumption model to pay a small amount every time the agent is deployed. The system allows you to set consumption caps too, so you can avoid bill-shock.

The licensing system for Microsoft Copilot can be confusing, but it is, at heart, a cost-effective option. Ensuring you have the right Microsoft license is critical, not just to save you money but to enable true productivity. If you’re worried you don’t have the best option for your business, reach out, we’d love to help.

How should I get started with Microsoft Copilot Studio?

I mentioned the land and expand approach above, and it’s a great option to get started quickly. But if you want to get real value out of your investment (both time and money), it’s worth working with an experienced managed IT services partner, too.

We provide a holistic Microsoft365 solution, with specialised teams who can guide you through every step. From configuring your 365 tenancy and security boundaries to help with setting up complex AI agents and training your team, we ensure you have the foundations and ongoing support for success.

In practice, this means setting up a secure and well-designed Microsoft365 environment, then layering in more advanced agents, integrations and training as confidence and maturity grow. If you have questions on Copilot, your license or how to get the most out of it, get in touch.
